What information we handle
This website has no forms that send information to us. We only receive personal information through the site if you choose to phone or email us, or if you accept analytics cookies (see Cookies and analytics).
Care enquiries by phone or email
When you call or email us about care, we receive the details you give us. This usually includes your name, phone number, email address and postcode, and may include information about the person who needs care, such as their health, care needs and circumstances. Health information is a special category of personal information, and we treat it with extra care.
The enquiry steps on our pages, and some links, open your email app with your enquiry written out as a message to us. Nothing is sent to us until you send that email yourself.
Job and recruitment enquiries
If you email us about working with PalCare, we receive what you send, such as your name, contact details, CV, experience and qualifications.
Technical information
Like most websites, our hosting provider automatically processes technical information, such as your IP address and browser type, to deliver the site and keep it secure.
This notice covers this website and enquiries. People we care for and our staff have their own privacy notices, which explain how we handle their records.
How we use it
- To reply to your enquiry and discuss whether and how we can help.
- To assess and arrange care if you ask us to.
- To consider you for a role if you contact us about working with us.
- To run, secure and improve this website.
- To meet our legal and regulatory obligations as a CQC-registered care provider.
Our legal reasons
UK data protection law says we must have a legal reason (a "lawful basis") for each use of your information. Ours are:
- Replying to enquiries: our legitimate interest in responding to people who contact us.
- Assessing and arranging care, and considering you for a role: taking steps you have asked for before entering into an agreement with you.
- Running and securing this website: our legitimate interest in keeping the site working and safe.
- Meeting our obligations as a care provider: legal obligation.
- Analytics: your consent, which you can withdraw at any time.
We use health information only where it is needed to provide health or social care (UK GDPR Article 9(2)(h)).
We do not sell your personal information, and we do not use it for advertising.
Cookies and analytics
Cookies are small files a website stores on your device. We use Google Analytics 4, loaded through Google Tag Manager, to understand how people use this website so we can improve it. Google Analytics cookies are only set if you choose "Accept analytics" in our cookie banner.
What Google Analytics measures
- Which pages are viewed, and how long people stay.
- How visitors found the site, for example from a search engine or another website.
- The type of device and browser used, and an approximate location (such as town or country) worked out from the IP address.
- Clicks on our phone number and email links, so we can see which pages lead to enquiries.
It does not record your name, email address, phone number, or anything you write in an email to us. We do not use it to identify you.
Cookies used
- _ga and _ga_<ID> (Google Analytics): distinguish visitors and sessions. Set only if you accept. They last up to 2 years unless you delete them or change your choice.
We also save your cookie choice in your browser's local storage, so we don't ask you again on every page. This is not a cookie and is not sent to us or to Google.
If you reject analytics
No analytics cookies are set. Google Tag Manager still loads, and Google may receive limited signals without cookies (for example, that a page was viewed and that consent was refused). Google uses these to estimate overall visitor numbers; they are not linked to a cookie on your device.
Changing your choice
You can change your choice at any time using "Cookie settings" at the bottom of every page or the button below. If you withdraw consent, we stop setting Google Analytics cookies and remove the ones already set on this site. You can also block or delete cookies in your browser settings, or install Google's Google Analytics opt-out browser add-on.
Google provides Google Analytics to us. You can read how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites.
Who we share it with
We only share personal information where we need to, with:
- Service providers who help us run the business and this website, such as our website host, email provider and Google (for analytics, only if you accept). They may only use it to provide their service to us.
- Health and social care professionals involved in arranging or providing care, where you have asked us to help or where it is needed to provide safe care.
- Regulators and public bodies, such as the CQC or the police, where the law requires us to.
Our website is hosted by Vercel, our email is provided by Namecheap (Private Email), and we keep job applications in Atlas, our HR system.
Information stored outside the UK
Some of these providers, including Google, Vercel and Namecheap, may store or process information in the United States. Where they do, the transfer is protected by the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge) or by standard contractual clauses for international transfers.
How long we keep it
- Care enquiries that don't lead to care: 12 months.
- Job and recruitment enquiries that don't lead to a role: 6 months.
- Google Analytics data: 14 months, after which Google deletes it automatically.
If you become a PalCare client or join our team, we keep your records for the periods required for care providers and employers.
Your rights
Under UK data protection law, including the UK GDPR, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use your information, or object to us using it;
- ask us to transfer information you gave us to another organisation;
- withdraw your consent at any time, where we rely on consent (for example, analytics cookies).
Some of these rights depend on the circumstances, and some don't apply where we must keep information by law. You don't usually need to pay a fee. We will normally reply within one month.
Contact us or complain
To use any of your rights, or if you have a question or concern about how we handle your information, email hello@pal-care.co.uk or call 020 3874 0693.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to deal with your concern first, so please contact us before going to the ICO.
